 GDPR Policy

TriCAD Solutions Ltd. Keeps all its client and employee data on an encrypted server, this is password protected and is backed up onto a portable USB drive. Client data is not used for any profiling or marketing and employee data is purely kept for employment purposes.

Awareness

All of the Directors are aware and support the Policy.

Information Held

TriCAD Solutions Ltd. receives the majority of our work from architects. They supply the client data when the project is done purely for invoicing purposes when required. Sometimes a client may approach TriCAD Direct and we will hold their Name, Address, telephone number and e-mail when supplied. This information is held in the ADMIN folder for that job, normally in e-mail or txt file format. It is not passed on to anyone else. All Data is held for at least 6 years.

Individual's Rights

All individuals have the right to know what personal data is held on them, also the right to access that data, the right to update that data and the right to have that data deleted. TriCAD communicates via e-mail and on the email there is a GDPR button. This allows the receiver to request access or erase their data.

Access requests

All requests will be answered within 5 working days. The individual will be asked if they wish to access, review or delete their data. A copy of their data will be e-mailed back showing what we have on record. The individual can then decide to update or erase that data. All updates or deletions will be done within 5 working days. This is done on the encrypted server so any archives will be updated to match that.

Lawful Basis for Processing Data

All accounting records are legally required to be kept for 6 years. This is he only processing of personal data. Data Breaches Any breach of the server must be reported to a director, the breach will be investigated and individuals will be notified if any personal data has been accessed. As no serious personal data other than Name, Address, phone number and e-mail are stored it is unlikely the ICO would be notified.
